Privacy Policy for HD2 Utility Bot

Introduction
HD2 Utility Bot (“the Bot”, “we”, “us”, or “our”) is a Discord bot designed for Helldivers 2 gaming communities. This Privacy Policy explains how we collect, use, store, and protect your information when you use our Bot.
When you use the Bot, we automatically collect:
- Discord User ID: Your unique Discord identifier, for saving user specific data such as statuses, playercards, medals, etc
- Discord Server (Guild) ID: The servers where the bot is used, for storing server configs, server announcements, etc
- Message IDs: For managing bot-generated messages and interactions
- Voice Channel Data: When using squad (LFG and grouping) voice channel features
You may choose to provide:
- Deployment Status: Your gaming status, faction preference, difficulty settings
- Player Profile: In-game level, title, homeworld, equipment preferences
- Friend Codes: Helldivers 2 friend codes for matchmaking
- Custom Notes: Personal messages for other players
- Clan Information: Clan affiliations and memberships
- Never provide personal information through the bot.
- Note: While we do not collect names, emails, or other sensitive information, data such as Discord User IDs and HELLDIVERS 2 friend codes may be considered personal information under certain privacy laws. We treat this data with the same care and compliance.
Game Activity Data
We collect data related to your bot usage:
- Virtual Economy: Requisition points, items, and trading history
- Achievements: Medals, commendations, and progression data
- Minigame Progress: Stratagem crafting, missions, and statistics
- Squad Activity: Group formations and voice channel usage
We use collected information to:
- Provide Bot Functionality: Enable deployment tracking, LFG systems, and squad management
- Maintain Game Features: Support minigames, economy systems, and progression tracking
- Facilitate Communication: Connect players for gaming sessions and events
- Cross-Server Features: Enable global LFG and bulletin systems (when enabled)
- Administrative Functions: Support server moderation tools and statistics
Data Storage and Security
Storage Location
- Data is stored locally on our servers in JSON file format
- No external databases or third-party storage services are used
- Data is organized by Discord server and user ID
Security Measures
- Access to data is restricted to the highest level of authorized bot developers, for development and support purposes only
- Regular secure backups ensure data integrity
- Bot permissions are limited to necessary functions only
Data Retention
- Active Data: Retained while you use the Bot or remain in participating servers
- Automatic Cleanup: Some data (expired deployments, completed missions) is automatically removed
- Historical Data: Game statistics and achievements are retained for continuity
- Data Cleanup: When removed from a guild, the bot deletes all data related to that guild.
Data Sharing
We do not sell, rent, or trade your personal information. Limited data sharing occurs only for:
Cross-Server Features
When enabled by server administrators:
- Global LFG system may share deployment status across participating servers, if users choose to mark their status as ‘global’
- Bulletin system may share announcements between allied communities, if those communities have a bulletins channel set
Bot Administration
- Authorized bot developers may access data for maintenance and support purposes
- Server administrators can view data relevant to their own servers through bot commands
Your Rights and Choices
Data Access
- View your stored data using bot commands like
/status, /helldiverinfo, and /medals (more in the readme)
- Server administrators can access server-specific data through admin commands
Data Control
- Update your information using bot commands (e.g.,
/deploy, /helldiverinfo edit)
- Remove specific data by clearing profile fields or undeploying
- Leave servers to stop data collection for that community
Data Deletion
For complete data removal, contact us through our support server. We will:
- Remove your data from active storage within 14 days
- Preserve data required for security or legal compliance (in the case of legal matters only)
Third-Party Services
The Bot operates on Discord’s platform and is subject to Discord’s Privacy Policy. We do not integrate with other third-party services that collect personal data.
Children’s Privacy
The Bot is not intended for users under 13 years of age. We do not knowingly collect personal information from children under 13. If you become aware that a child has provided us with personal information, please contact us, and we will delete such information promptly.
Changes to This Policy
We may update this Privacy Policy to reflect changes in our practices or for legal compliance. We will notify users of significant changes through:
- Bot announcements in participating servers
- Updates posted in our support Discord server
- Changes to this document with updated effective dates
International Users
By using the Bot, users outside the United States and/or Canada consent to the transfer and processing of their information in the United States and/or Canada, where data protection laws may differ from those in your country.
